RH Group -

Russell Heale Group is a family-owned Australian engineering business operating from two fully equipped factory locations on the Gold Coast.

The business provides a broad range of engineering and foundation services, with capabilities spanning steel screw piling, heavy-duty foundation drilling, tag and semi-trailer manufacturing, and general engineering.

A core part of the business is the design, manufacture, supply, installation and certification of steel screw piles and piers. Russell Heale Group also undertakes specialised drilling works across civil, industrial and infrastructure projects, including bored piers, bridge drilling, geotechnical drilling, rock drilling and earth drilling.

Supported by experienced tradespeople, including qualified fitters, turners and boilermakers, the business has built its reputation around delivering practical engineering solutions for complex foundation and construction requirements.

As the volume and complexity of quotation opportunities increased, Russell Heale Group identified a need to improve the way enquiries and quotations were managed across the business.

The existing process relied heavily on coordination between builders, clients, engineers, estimators and internal staff. This created several operational challenges.

The business needed to ensure that every quotation opportunity was captured and progressed without enquiries being overlooked or lost. At the same time, maintaining strong client relationships required prompt responses, proactive communication and consistent follow-up throughout the quotation process.

Preparing quotations also depended on receiving information from multiple stakeholders within required timeframes. Delays in obtaining engineering information, estimating inputs or client documentation could slow the process and make it more difficult to respond competitively.

Once quotations had been submitted, the business also needed a more structured way to follow up opportunities, obtain feedback from clients and understand why quotations were being won, lost or delayed.

Importantly, any improved process also needed to support compliance with contractual obligations, regulatory requirements and Russell Heale Group's internal business processes.

The challenge was therefore broader than simply producing quotations faster. The business required a more controlled, visible and consistent quotation process from the initial enquiry through to final client follow-up.

GSQUARE INVOLVEMENT

From understanding the process to finding the right solution and implementation, we made sure Russell Heale Group realised the value from the investment.

Gsquare commenced the engagement by undertaking an initial review of the business and its existing quotation process.

This review was used to identify process gaps, operational requirements and opportunities for improvement. Gsquare then sourced and evaluated potential technology solutions before developing the business case for the recommended approach.

Following approval by Russell Heale Group, Gsquare provided both the project management and technical resources required to deliver the solution.

The engagement included detailed business analysis, solution design, system configuration and implementation.

Gsquare worked with the business to translate its existing quotation workflow into a more structured system that could capture opportunities, support communication and follow-up activities, improve management visibility and provide greater control over the quotation pipeline.

The solution was then configured and rolled out across the relevant areas of the business.

KEY OUTCOMES

A clear view of the pipeline including follow-up actions to convert opportunities into projects.

The new quotation process has provided Russell Heale Group with greater visibility, consistency and control over its sales and estimating activities.

All quotation requests are now formally logged, significantly reducing the risk of opportunities being missed or lost.

Automated reminders prompt staff when information, actions or follow-ups are outstanding, helping quotations progress through the process within required timeframes.

Customers also receive timely acknowledgements and communications throughout the quotation process, supporting a more consistent and professional client experience.

Key project and quotation information is consolidated into management reports, allowing staff to review current workloads, identify bottlenecks and understand where individual opportunities sit within the pipeline.

The improved visibility also supports stronger planning and accountability across the business, while providing management with better information to support decision-making.

Most importantly, Russell Heale Group now has a more structured approach to managing opportunities from initial enquiry through to quotation, follow-up and project conversion—helping the business respond more effectively to customers while improving its ability to convert opportunities into successful projects.
